We work on a case-by-case basis, coordinating introductions between vetted retreat hosts and venues when there is a strong operational and financial fit. There is no obligation to participate, and no exclusivity required.

  • Offer exclusive use during booked retreat weeks

  • Already rent by the week or are open to private group buyouts

Staffing, services, and operations vary by venue and retreat. We appreciate that each venue operates differently, and we partner with a variety of venues that offer varying support to retreat hosts. Wildwell fills in the blanks between the two, taking care of clearly defined operational objectives that cater to retreat goals, while maintaining consistency to venue standards and expectations. Depending on the property:

  • Staffing and meals may be included or added separately
  • Hosts may bring facilitators or request local support
  • All operational details are confirmed in advance

Wildwell helps align expectations early to ensure smooth execution. Operational responsibilities are clearly defined in advance and vary by retreat and venue.

  1. Exploratory Connection
    You share basic details about your property, pricing ranges, and availability patterns.

  2. Image & Information Approval
    With your permission, we may reference approved images and general details to illustrate potential matches to retreat hosts.

  3. Host Matching
    When a qualified host expresses interest, we present the opportunity for your review — including group size, retreat type, and timing.

  4. Confirmation & Contracting
    If all parties agree, bookings and contracts are handled directly between you and the host (or via your preferred process).

Once a retreat is confirmed, Wildwell supports coordination between the venue and the retreat host to ensure agreed usage of the property, staffing expectations, guest flow, and on-site logistics are clearly aligned.

Our role is to reduce friction and miscommunication, not to change how venues operate or assume ownership of the guest relationship. Wildwell remains involved as a coordinating partner as agreed.

This varies by venue and is clarified during the matching process. Staffing, meals, and services may be included or added separately.

What if a retreat doesn’t fill?
Hosts are responsible for filling their retreat. We work with them to ensure last minute cancellations are not typical, and build actionable agreements that put the onus on retreat hosts to ensure commitment. The responsibility on actioning the retreat is on the host, not on the venue.
