1. About These Terms
These Terms & Conditions (“Terms”) govern all bookings and travel with Wildwell, operated by Wildwell LLC, a Wyoming Limited Liability Company (“Wildwell,” “we,” “us”). By submitting a reservation request, paying a deposit, or traveling with us, you (“you,” “guest”) agree to these Terms on behalf of yourself and anyone you book for.
Wildwell designs and organizes small-group journeys. Accommodations, meals, ground transport, guiding, and activities are delivered by independent third-party suppliers, including the lodges and operators we contract on your behalf. Wildwell is not the owner or operator of those suppliers.
2. Reservations and Payment
A reservation is confirmed when we receive your signed guest agreement and a deposit of 25% of the journey price per guest. The balance is due 60 days before departure. Reservations made inside 60 days require payment in full at booking. All payments are non-refundable from the date paid (Section 4). Proof of required travel insurance (Section 6) is due with your final payment.
Payment may be made by bank transfer or debit/credit card. Prices are stated in U.S. dollars, per person, based on single or double occupancy as described on each journey page.
If your balance is not received by the due date, we may treat the reservation as cancelled by you and apply the cancellation terms below.
3. What Is Included
Each journey page states what is included. Unless stated otherwise, the journey price includes accommodation, all meals and beverages as described, guided activities, daily practice sessions, and ground transfers between the designated arrival point and the lodge.
Not included unless expressly stated: international and domestic airfare, travel insurance, passport and visa fees, personal purchases, additional gratuities (note: Wildwell does not expect gratuities to be paid by guests and as a company offers gratuities to the lodges with which we partner), and any expenses arising from delays, weather, or events beyond our control.
4. Cancellation by Guests

All payments to Wildwell are non-refundable. Each journey secures exclusive use of a single property for a small number of guests. When we confirm your place, we commit to the lodge on your behalf, and the lodge turns away all other business for those dates. For this reason, deposits are non-refundable at booking and balances are non-refundable when paid, regardless of the reason for cancellation. This is why comprehensive travel insurance, including cancellation coverage, is required for every guest (Section 6).
If your spot can be filled. As a courtesy, if you cancel and we are able to fill your place with another guest, we will refund your payments less a $500 administrative fee. This is offered on a goodwill basis only; we cannot guarantee a replacement guest will be found, and no refund is owed if your spot goes unfilled.
Transfers. You may transfer your place to another guest of your choosing, subject to our approval and completion of guest forms, up to 30 days before departure, for a $500 administrative fee. Payments cannot be credited toward a future departure.
5. Cancellation or Changes by Wildwell
We reserve the right to cancel any departure due to force majeure or safety concerns. If we cancel a journey for reasons other than force majeure, you will receive a full refund of all payments made to Wildwell, which will be your sole remedy; we are not responsible for other costs you have incurred, such as airfare.
We may adjust itineraries, activities, accommodations, or guides where conditions require, including weather, safety, and supplier availability. Substitutions will be of comparable standard. Wilderness travel is inherently variable, and flexibility is a condition of joining.
6. Travel Insurance
Comprehensive travel insurance is required for all guests. Your policy must cover trip cancellation and interruption at the full journey value, emergency medical care, and emergency medical evacuation. Because all payments to Wildwell are non-refundable, we strongly encourage you to consider Cancel For Any Reason (CFAR) coverage, which is typically only available within a short window after your first trip payment . Proof of coverage is due with your final payment. Guests who have not provided proof of insurance may be denied participation without refund.
Wildwell does not sell insurance, does not advise on specific policies, and receives no compensation from insurers.
7. Passports, Visas, and Entry Requirements
You are responsible for holding a passport valid for at least six months beyond your return date and for obtaining any required visas or entry permissions for the destination. Requirements change; verify them with the relevant embassy or your travel advisor. Wildwell is not liable for denied boarding or entry.
8. Health, Fitness, and Medical Disclosure
Our journeys involve physical activity in remote environments, at altitude in some destinations, and at a distance from advanced medical care. You must disclose, on the guest form we provide, any medical conditions, medications, allergies, or limitations that could affect your safety or participation. We may decline or condition participation where we reasonably believe a journey is unsafe for you. All wellness programming, including breathwork, sauna, and cold-water practice, is optional at all times, and you are responsible for participating within your own limits. Wellness practices offered on our journeys are not medical treatment; consult your physician before travel.
9. Assumption of Risk and Release
Travel in wilderness environments involves inherent risks, including but not limited to remote terrain, weather, wildlife, water and cold exposure, altitude, transportation, and limited access to medical care. By traveling with Wildwell you acknowledge and voluntarily assume these risks. Each guest will be required to sign a separate Assumption of Risk and Release of Liability agreement before departure.
10. Third-Party Suppliers
Wildwell contracts with independent suppliers to deliver your journey. While we select suppliers with care, we do not control their operations and are not liable for their acts or omissions. Any claims arising from a supplier’s services are subject to that supplier’s terms.
11. Guest Conduct
We reserve the right to remove any guest whose behavior endangers themselves or others, or materially disrupts the experience of the group, without refund. Given the intimacy of these journeys, this clause protects every guest, including you.
12. Photography and Media
We may photograph or film during journeys for archival and marketing use. Guests who prefer not to appear in any media may indicate so on the guest form and will be respected without question.
13. Limitation of Liability
To the maximum extent permitted by law:
(a) Wildwell’s total aggregate liability to you arising out of or relating to your journey, whether in contract, tort, or otherwise, shall not exceed the total amount you paid to Wildwell for that journey.
(b) Wildwell shall not be liable for indirect, incidental, consequential, special, or punitive damages of any kind, including lost enjoyment, emotional distress, or costs of substitute travel, even if advised of the possibility of such damages.
(c) Wildwell shall not be liable for the acts, omissions, or negligence of third-party suppliers, including lodges, transport providers, guides, and activity operators, or for losses caused by events beyond our reasonable control, including weather, flight delays or cancellations, or changes to itineraries made for safety or operational reasons.
(d) Wildwell is not responsible for loss of or damage to personal property, including items lost, stolen, or damaged at lodges, in transit, or during activities.
(e) Nothing in these Terms limits or excludes liability that cannot be limited or excluded under applicable law, including liability arising from Wildwell’s own gross negligence or willful misconduct.
Any claim arising out of or relating to a journey must be brought within one year of the journey’s scheduled end date, or it is waived.
14. Force Majeure
“Force majeure” means any event beyond a party’s reasonable control, including natural disasters, severe weather, fire, flood, volcanic activity, epidemics and pandemics, government actions or travel restrictions, war, civil unrest, strikes, and failure of a supplier to perform where caused by any such event. Neither party is liable for failure to perform caused by force majeure.
If we cancel before departure due to force majeure, you may elect either (a) a refund of all amounts paid to Wildwell, less any costs already committed to suppliers that we are unable to recover after good-faith efforts, or (b) a credit for the full amount paid, applicable to any Wildwell departure within [24] months. We will document unrecoverable costs on request.
If a journey is interrupted after departure due to force majeure, we will make reasonable efforts to adjust the itinerary and continue the journey. Where continuation is not possible, we will pass through any amounts recovered from suppliers as a credit or refund on a pro-rated basis. Wildwell is not responsible for additional costs you incur as a result of force majeure, including flight changes, extra accommodation, or early return travel. These are precisely the costs your required travel insurance exists to cover (Section 6).
15. Governing Law and Disputes
These Terms, and any dispute arising out of or relating to them or your journey, are governed by the laws of the State of Wyoming, without regard to conflict-of-law principles.
Talk to us first. If a dispute arises, you agree to contact us at explore@travelwildwell.com and give us 30 days to work toward a resolution in good faith before beginning any formal proceeding. Most problems are solvable this way, and we take that obligation seriously.
No class actions. All disputes shall be brought in the parties’ individual capacities only. Neither party may participate in a class, consolidated, or representative action, and the arbitrator may not consolidate the claims of multiple guests.
Severability. If any part of this section is found unenforceable, the remainder shall continue in effect.
16. Privacy
We collect personal information in order to design and operate your journey: contact and identity details, passport information where needed for lodge and transport bookings, payment records, and the information you provide on guest forms, including dietary needs and the health disclosures described in Section 8.
We use this information only to operate your journey and communicate with you. We share it with third-party suppliers, such as lodges, transport providers, and guides, only to the extent needed to deliver your journey, and with service providers such as payment processors. Health information is treated as confidential, is shared only with the guides and, where necessary, medical personnel who need it for your safety, and is not used for any other purpose.
We do not sell personal information. We retain guest information only as long as needed for the purposes above and to meet legal and insurance requirements.

17. Changes to These Terms
We may update these Terms from time to time. The version in effect on the date of your booking governs your journey.
